There are two separate steps in TTPay’s leave process: allocating leave (deciding how many days an employee is entitled to) and granting leave (recording that an employee actually took time off).
Before allocating leave, make sure the leave types you need already exist — see Setting Up Workgroups, Positions, Skills, and Leave Types.
Allocating leave to many employees at once
Where to find it: Setup > Leave
Steps
- Insert the standard number of days for each leave type — this applies as the default for everyone.
- If a particular employee’s entitlement is different from the standard, go to Setup > Employee > Leave and edit the Amt. Days Allotted field for that employee (see Terms below).
Allocating leave to one employee
Where to find it: Setup > Employee > Leave
Steps
- Select the employee.
- Click Leave Entitlement.
- Enter the Leave Type, Allotted Year, and Number of Days Allotted (see Terms below).
Terms
- Amt. Days Allotted — the number of leave days given to an employee, when it differs from the standard default.
- Leave Type — which kind of leave this entitlement is for (Vacation, Sick, etc.).
- Allotted Year — the year this entitlement applies to.
- Number of Days Allotted — how many days of this leave type the employee is entitled to for that year.
Granting leave (recording time taken)
When an employee actually takes leave, record it as a Leave transaction. TTPay will automatically deduct the days taken from that employee’s allotted leave balance, and the details will appear on Employee Leave Reports.
Good to know
Think of allocating as setting the entitlement, and granting as spending it — an employee’s balance only goes down when leave is actually granted, not when it’s allocated.
